Presentation of the Treasurer’s Report by Ian S. in Treasurer’s absence (read from August 15, 2005 financial statement prepared for the Bid Book).
Reports:
Chair: Hello to everyone on the Committee and all others who are involved
in the activities of SMICYPAA. It has been a devastating time for the host
committee and all of those that have been working so hard to get ICYPAA
going. It is certainly a deep regret that we have not been able to have
a conference to attend this last month, but it has also been amazing to
see the committees all over the country come together in concern for all
of our friends in the south that were hit by the hurricane that has postponed
ICYPAA. I am personally looking forward to the conference even more now,
because I can only imagine the amount of enthusiasm and excitement that
will be there considering the amount of perseverance that they, and we,
will have to. As far as SMICYPAA activity, I suppose that like most everyone
else, our plans and activities have come to a halt since the hurricane hit,
and I have since been looking forward to our next Committee Meeting to see
what we will do now. Some Committee Members and myself worked on a part
of our presentation in anticipation for the conference right up until we
knew for sure that it would be postponed, and I am very pleased with what
we have produced. I'm looking forward to getting the “show on the
road,” and moving right along to the next right thing that we as a
committee can do.

Co-Chair: Happy to report that we were on target for ICYPAA 48 all the way
up to its postponement. In my extended term over the next eight months I
am looking forward to the chance to add to our already spectacular bid package,
to see our outreach activities continue, to bring in new Bid Committee Members,
and to the opportunity to continue serving the Committee.

Outreach Committee: Perhaps a SMICYPAA Hospitality Room at Spiritual Homecoming?
If anyone is interested in going to Heart of America Round-Up in KC, MO,
let me know. It was a good time last year.

Hotels/Facilities Committee: Important activities since the last meeting
include: We have communicated the sad news about the postponement of ICYPAA
48 until next year with our three hotels. The Renaissance, the Millennium
and the Adam's Mark understand and are on board to start looking at next
year. The following goals are set: Make sure the big three hotels are tentatively
holding the Memorial Day weekend, 2007 for ICYPAA 49. Thank you for this
opportunity to serve.

Bid Book Committee: No report.
Events Committee: The event which was scheduled for next weekend, SMICYPAA
Idol, has been cancelled due to the success of the kickball event and the
lack of time to put another event together. We may want to use the church
which we were planning on using for the Idol event for a New Years event
down the line. It needs to be booked way in advance.

Merchandising Committee: T-Shirts are still for sale. Including pre-paids,
we have sold approximately 16 shirts total so far.

Group Communications Committee: We represented SMICYPAA at the Alano Board’s
Service Fair; several people signed our contact list.

General Sharing was held regarding combination and restructuring of positions,
committees, sub-committees, etc. to help the Bid Committee be more efficient.
New Business:
Motion to elect an “Interim Events Chairperson” to serve and
carry out the duties of the Events Chairperson until the election for such
position may be held.
